Azool is a service operated by VANTRO, LLC ("Azool", "we", "us"). This policy explains what information we collect, why we collect it, and what we do with it.

Information we collect
From contractors who subscribe to Azool. Business name, owner name, email address, business mobile number, service area, and billing details. Payment card information is handled entirely by Stripe; we never see or store full card numbers.
From people who call a contractor's Azool number. When our AI receptionist answers a call, we collect the caller's phone number and the information they provide during the call — typically their name, the nature of the job, the service location, and how urgent it is.
Call recordings and transcripts. Calls answered by the Azool receptionist are recorded and transcribed. This is the core of the service: it allows the contractor to hear exactly what the caller said rather than relying on a summary.
Technical information. Standard server logs, including IP address, browser type, and timestamps.
How we use it
- To answer calls on a contractor's behalf and pass on the details
- To send the contractor an SMS job report immediately after each answered call
- To make call recordings and transcripts available to that contractor in their Azool account
- To provide customer support, billing, and account management
- To maintain security and diagnose technical problems
SMS messaging
We do not sell, rent, or share mobile numbers collected for SMS with third parties for marketing or promotional purposes. Mobile numbers provided for SMS notifications are used solely to deliver job reports and service messages related to the subscriber's own Azool account.
Contractors opt in to SMS notifications during signup by entering their own business mobile number and giving explicit consent. Message frequency varies with call volume. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for assistance. Opting out of SMS does not cancel the Azool service; call answering continues and reports remain available in the contractor's account.
Call recording
Callers hear a notice that the call may be recorded. Recordings are stored in encrypted, access-controlled storage and are visible only to the contractor whose number was called, through their own authenticated Azool account at app.azool.co. No other contractor can access them. We do not use call recordings for advertising, and we do not sell them.
Contractors may request deletion of specific recordings, or of all recordings on their account, by emailing contact@azool.co.
Who we share information with
We share information only with the service providers needed to run Azool, and only to the extent required:
- Telnyx — telephone and SMS delivery
- Vapi — AI voice call handling
- Supabase — encrypted database and file storage
- Railway — application hosting
- Stripe — payment processing
We do not sell personal information. We do not share it with advertisers or data brokers. We may disclose information where required by law or to protect our legal rights.
How long we keep it
Account information is kept for as long as the account is active, and for a reasonable period afterwards for tax and accounting purposes. Call recordings and transcripts are retained while the account is active and may be deleted earlier at the contractor's request. If an account is closed, recordings are deleted within 90 days.
Security
Data is encrypted in transit and at rest. Recordings are held in a private storage bucket that is not publicly accessible; playback requires an authenticated session and a short-lived signed link. Access to each contractor's records is enforced at the database level, so one account cannot reach another's data.
Your rights
You may request a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Write to contact@azool.co and we will respond within 30 days.
California residents have additional rights under the CCPA, including the right to know what personal information is collected and the right to request deletion. We do not sell personal information as defined by the CCPA.
Children
Azool is a business service and is not directed at anyone under 18. We do not knowingly collect information from children.
Changes
If we change this policy we will update the date at the top of this page. Material changes will be notified to account holders by email.
